The Company:

We are looking to recruit a Buying Assistant to provide support to the buying team and to collaborate closely with internal departments to ensure efficient procurement processes. You will be in daily contact with suppliers and will be responsible for ensuring information inputted into our system is accurate. The Buying Assistant maintains daily contact with the Merchandisers to ensure on-time shipment of required goods in line with purchase order requirements. By effectively managing these tasks, the Buying Assistant enhances operational efficiency, ensures timely product availability, and supports sales growth, contributing significantly to the company’s overall profitability and customer satisfaction

The Role:

  • To provide a full administration support service to the Buying Team.
  • To be fully responsible for ensuring Item setups and purchase orders are correct.
  • To communicate clearly Key dates through the business to maintain shipment dates.
  • To quickly and accurately turn-round information, data and documentation.
  • To be an integral part of the Buying team demonstrating excellent liaison and customer service skills to maximise both supplier co-operation and customer loyalty.
  • To understand and manage the Company/customer sample process including but not limited to: development samples, pre-production samples, production samples and keeping the sample log updated.
  • To receive information sheets from the factory, checking to ensure all information is filled in correctly
  • Use the (supplier information sheet) to Setup items when advised to from the buyer.
  • To create all NAV vendor contacts raising new factories on the system as necessary
  • Raising purchase orders on the NAV system
  • Sending orders over to factories
  • Update internal departments where necessary on critical path
  • Support the Buying team in planning and developing trade shows including design, sampling, administrative duties and set up.
  • To carry out any additional duties as may reasonably be required

Skills Required:

  • Strong organisational skills with proven administrative ability and attention to detail
  • A proven ability to prioritise workload, adapt to changes and address challenges efficiently and effectively.
  • Excellent oral and written communication skills
  • Strong attention to detail
  • Effective computer skills with strong Excel knowledge
  • Comfortable working in a fast-paced environment sometimes balancing competing priorities to maximise outcomes for both company and customer.
  • An ability to work effectively as part of functional and interdepartmental teams prioritising workload to maintain/enhance customer expectations.
  • A demonstrable commitment to exceeding expectations and goals
